By creating an account or making a booking, you agree to these Terms. Please read them carefully — especially Sections 6 (deviation charges), 7 (your responsibilities), and 9 (clinical complaints).

1. What DentAItinerary Is

We are a platform, not a clinic.

DentAItinerary is a technology platform and concierge service that helps international patients discover, plan, and book dental treatment trips to India. We connect you with vetted partner clinics, arrange travel logistics, and provide a dedicated coordinator.

We are not a healthcare provider. We do not provide dental treatment, medical advice, or clinical diagnoses. All clinical decisions are made solely by the dental clinic you choose ("the Clinic").

When you book through DentAItinerary, you have two distinct relationships:

  • Clinical relationship — treatment decisions, outcomes, aftercare instructions — directly with the Clinic.
  • Platform relationship — booking, payments, travel logistics, coordination — with DentAItinerary (TED Consulting).

DentAItinerary's services include: AI itinerary tool (indicative, pre-booking), clinic matching and quotation facilitation, payment collection and remittance, accommodation and transfer arrangements, trip coordinator (WhatsApp-based), and trip documents, calendar sync, and status tracker.

DentAItinerary receives a commission from partner clinics for patient coordination and referral services. This does not affect the treatment price quoted to you.

DentAItinerary's services cover the booked patient only. Accompanying persons (spouses, family members, companions) are not covered by these Terms. Accommodation for accompanying persons may be arranged separately at additional cost upon request.

2. Eligibility

You must be at least 18 years old to create an account and make a booking.

Patients under 18 may be booked by a parent or legal guardian who accepts these Terms on their behalf and accompanies them throughout the trip.

You confirm that all information you provide is accurate, current, and complete.

3. The Booking Process

3.1 AI Itinerary (Pre-Booking)

The AI-generated itinerary is indicative only. Pricing, scheduling, and treatment details are representative estimates based on average market data — not a confirmed quote. Do not make travel arrangements based solely on the AI itinerary.

3.2 Request Submission

Submitting a treatment request is not a booking. It initiates the matching and quotation process. You are not committed at this stage.

By submitting a treatment request, you consent to DentAItinerary sharing your dental records, X-rays, and medical history with up to 3 vetted partner clinics for the purpose of obtaining treatment quotes. During the matching phase, your identity is anonymised — clinics receive only your clinical data. Your personal details are shared with a clinic only after you confirm a booking with a deposit.

3.3 Minimum Booking Lead Time

We require a minimum of 21 days between booking confirmation and your proposed travel date. This allows time for clinic review, slot confirmation, accommodation booking, and coordinator briefing. 3.4 Quotation

Once a Clinic reviews your case (X-rays, treatment description, medical history), DentAItinerary assembles a full quotation package: confirmed treatment plan, itemized costs, day-by-day itinerary, and clinic profile. Quotations are valid for 14 days from the date of issue and are locked in your local currency for the duration of that validity period.

3.5 Booking Confirmation

A booking is confirmed only when you accept a quotation and complete the initial deposit payment (30% of Total Package Price). Upon confirmation, DentAItinerary issues a written Booking Confirmation by email summarising the agreed treatment, pricing, and these Terms.

3.6 Pricing and Currency

Pricing is displayed and collected in your local currency where supported (USD, GBP, AUD, EUR). Exchange rates are determined at the time of payment by our payment processor. DentAItinerary is not liable for currency fluctuations between quotation acceptance and payment.

Treatment pricing is set by DentAItinerary based on clinical coordination and quality assurance, and may differ from the Clinic's direct rate.

4. Payments

4.2 Payment Processing

All payments are collected in your local currency via Stripe or Razorpay, depending on your country and payment method. Payment card data is processed entirely by the payment processor and is not stored by DentAItinerary.

4.3 What the Total Package Price Includes

The Total Package Price is a single all-in price covering: dental treatment (including clinical coordination and quality assurance), accommodation, airport transfers, curated activities (where included in your package), trip coordinator, and a non-refundable coordination fee. A full breakdown is provided in your quotation.

4.4 Coordination Fee

A coordination fee of USD 150 (or local currency equivalent) is included within the Total Package Price. It is not shown as a separate line item in your quotation. It covers: patient matching, quotation management, trip coordinator assignment, concierge logistics, and platform access. It is non-refundable in all circumstances, including cancellation, except where Section 5.3 applies (Clinic cancellation).

4.5 Return Visits

Some treatments (e.g. full-mouth rehabilitation, All-on-4) may require a return visit after an initial healing period. Return visits are booked as separate engagements through DentAItinerary. Reduced clinical rates and reduced or waived coordination fees may apply for returning patients. Your coordinator will advise on return visit timing and options as part of your treatment plan.

5. Cancellation and Refunds

5.1 Cancellation Before Treatment Begins

5.2 After treatment has begun: No refund on the Treatment Fee once treatment has commenced at the Clinic.

5.3 If the Clinic Cancels or Is Unavailable

DentAItinerary will offer you: (a) a comparable alternative clinic at no additional cost; or (b) a full refund of all amounts paid including the coordination fee. Accommodation and travel costs will be refunded subject to partner policies.

5.4 Company Closure

In the event DentAItinerary is unable to deliver a confirmed booking for any reason including cessation of operations, a full refund of all amounts paid will be issued within 30 days.

5.5 Refund Processing

Refunds are processed within 14 business days to the original payment method. Currency exchange differences on any refunded amount are not covered.

6. Deviation Protocol — Additional Charges During Treatment

6.1 What is a deviation?

A "deviation" occurs when the Clinic discovers a clinical condition during treatment that was not identifiable from pre-treatment records (X-rays, photographs, medical history) and that requires additional procedures not included in your confirmed quotation. Common examples include bone loss requiring a graft, hidden infection requiring extraction, or additional implant sites.

6.2 How deviations are handled

If a deviation is identified: (a) the Clinic will pause non-emergency treatment and notify your DentAItinerary coordinator immediately; (b) your coordinator will contact you — typically within 2 hours — to explain the finding, the recommended additional procedure, and the fixed price; (c) you have up to 6 hours from notification to decide — there is no pressure to proceed — you may accept, decline, or request a second opinion; (d) if you accept, you will receive a Deviation Notice via the platform confirming the additional procedure and its price — payment is required before the additional work begins.

6.3 Deviation pricing and payment

All deviation procedures are priced from a fixed Extended Care Menu — prices are pre-agreed with the Clinic and disclosed to you before you accept. There are no open-ended cost surprises.

All deviation payments are collected by DentAItinerary, not by the Clinic directly. You will receive a payment link via your coordinator. The Clinic may not collect deviation charges from you directly.

Deviation payments are non-refundable once the additional procedure has been performed.

6.4 If you decline a deviation

You may decline any deviation. The Clinic will proceed only with the originally confirmed treatment plan. DentAItinerary and the Clinic are not liable for outcomes that are clinically affected by your decision to decline a recommended additional procedure, provided the Clinic has documented the recommendation and your refusal.

6.5 Escalation for cumulative deviations

If cumulative deviation charges exceed 25% of the original treatment component of your Total Package Price, DentAItinerary will arrange a mandatory case review before any further deviation work proceeds. This review is a call between you, your coordinator, and the Clinic's lead dentist, to ensure you have a complete clinical picture before deciding how to proceed.

7. Your Responsibilities

7.1 Medical Disclosure

You are responsible for providing complete and accurate medical history to the Clinic — including current medications, allergies, medical conditions, bleeding disorders, implants, and relevant dental history. DentAItinerary is not liable for outcomes arising from incomplete or inaccurate medical disclosure.

7.2 Pre-Travel Consultation

We strongly recommend consulting your home dentist or GP before travelling. DentAItinerary does not assess your clinical suitability for treatment. The Clinic's pre-treatment review is the clinical assessment.

7.3 Travel InsuranceStrongly Required

We strongly require you to arrange comprehensive travel insurance before travel, covering: medical complications and emergency treatment, dental procedure complications, emergency medical repatriation, and trip cancellation and delay. By confirming your booking, you acknowledge this requirement. DentAItinerary will not be liable for costs that would have been covered by adequate travel insurance.

7.4 Post-Procedure Care

You must follow the Clinic's post-procedure instructions. Failure to do so may affect your outcome and may affect any remediation obligations on the Clinic's part.

7.5 Conduct

You agree to treat Clinic staff and DentAItinerary coordinators with respect. DentAItinerary reserves the right to terminate services without refund in cases of abusive, threatening, or fraudulent behaviour.

8. Aftercare

8.1 Treatment Records

The Clinic will provide you with a complete digital treatment record before your departure, including: treatment notes, X-rays (pre and post-treatment), implant brand and lot numbers (where applicable), prosthesis specifications, and aftercare instructions. DentAItinerary will ensure these records are available in your patient portal. These records are yours — you may share them with any dentist for follow-up care.

8.2 Remote Aftercare

For any post-treatment concern arising within 12 months of your treatment date, DentAItinerary will facilitate a tele-consultation between you and your treating Clinic via WhatsApp or video call, at no additional charge. This is a coordination service — clinical advice is provided by the Clinic, not by DentAItinerary.

8.3 Local Follow-Up

Your treatment records are designed to be shared with your home-country dentist for ongoing follow-up care. If your home dentist requires clarification, DentAItinerary will facilitate professional-to-professional contact between your home dentist and the treating Clinic.

8.4 Return Visits for Re-Treatment

If the Clinic determines that a return visit is clinically required (within the terms of their warranty or guarantee), DentAItinerary will coordinate the return trip at reduced platform fees. Clinical re-treatment is between you and the Clinic, subject to the Clinic's warranty terms. Travel costs for return visits are your responsibility.

8.5 Limitation

DentAItinerary facilitates aftercare communication and documentation. Clinical warranties, guarantees, and remediation obligations are between you and the Clinic. DentAItinerary does not guarantee clinical outcomes and does not fund re-treatment or return travel.

9. Clinical Complaints and Dispute Resolution

DentAItinerary is not liable for clinical outcomes. The Clinic is solely responsible for all treatment decisions, outcomes, and complications.

If you have a clinical concern after returning home:

  1. Contact the Clinic via the platform portal within 30 days. The Clinic is obligated to respond within 24 hours.
  2. Contact DentAItinerary if the Clinic does not respond within 24 hours, or if you require support — we will facilitate communication and assist in resolution. We will act in good faith but cannot adjudicate clinical matters.
  3. Formal complaint — clinical complaints may be made to the Dental Council of India at dciindia.gov.in.

For complaints about DentAItinerary's coordination, booking, or platform services, email [email protected]. We will acknowledge within 24 hours and respond substantively within 48 hours.

10. Limitation of Liability

DentAItinerary's maximum aggregate liability to you for platform service failures is limited to the coordination fee of USD 150 paid by you.

DentAItinerary is not liable for:

  • Clinical outcomes, complications, or post-treatment issues
  • Travel delays, cancellations, or disruptions beyond our reasonable control
  • Hotel quality issues where hotels are independently operated
  • Acts or omissions of third-party partners (hotels, transport providers, activity operators)
  • Force majeure events (see Section 12)

Your statutory rights are not affected.

This limitation does not exclude rights you cannot waive under mandatory law in your country of residence, including:

  • UK: Consumer Rights Act 2015, Consumer Contracts Regulations 2013, Package Travel and Linked Travel Arrangements Regulations 2018
  • EU: Consumer Rights Directive, Package Travel Directive (2015/2302/EU), applicable national consumer law
  • Australia: Australian Consumer Law (Competition and Consumer Act 2010)
  • USA: Applicable state consumer protection laws

Where DentAItinerary's offering constitutes a "package" under the UK Package Travel Regulations 2018 or EU Package Travel Directive, you have additional rights including insolvency protection and specific cancellation and price revision rights. DentAItinerary will comply with applicable package travel obligations for qualifying bookings. If you have questions about your rights under package travel law, contact [email protected].

11. Privacy and Data

Your use of the platform is governed by our Privacy Policy, which forms part of these Terms.

We collect and process health data (X-rays, dental history, photographs) with your explicit consent for the sole purpose of facilitating your treatment booking, coordination, and aftercare.

Clinical data is retained for 12 months after your last treatment date, after which it is deleted unless you request earlier deletion. Your data is not used for research, AI training, or any other purpose without your separate written consent.

You can withdraw consent and request data deletion at any time via your account settings or by emailing [email protected].

12. Force Majeure

Neither party is liable for failure or delay in performance caused by circumstances beyond their reasonable control, including but not limited to: natural disasters, pandemics, acts of government, war, civil unrest, strikes, or infrastructure failures.

Where a force majeure event affects a confirmed booking: (a) DentAItinerary will notify you as soon as reasonably practicable; (b) DentAItinerary will use reasonable efforts to offer a rescheduled booking at no additional cost; (c) if rescheduling is not possible within 90 days, you are entitled to a full refund of amounts paid, excluding actual costs already incurred by third-party partners that are unrecoverable.

13. Intellectual Property

All content on the platform — AI tools, itinerary engine, design, copy, trademarks — is owned by TED Consulting operating as DentAItinerary. You may not reproduce or use it without written permission.

14. Changes to These Terms

DentAItinerary may update these Terms. We will notify you by email at least 14 days before material changes take effect. Continued use of the platform after the effective date constitutes acceptance. For active confirmed bookings, the Terms in force at the time of booking confirmation apply.

15. Governing Law and Jurisdiction

These Terms are governed by the laws of India. For disputes, the courts at Delhi, India have jurisdiction — subject to your mandatory rights under local law.

If you are a UK or EU resident: you retain your rights under UK GDPR / EU GDPR, applicable consumer law, and Package Travel Regulations, which cannot be contracted away. Indian jurisdiction applies for disputes that fall outside those mandatory protections.
